Havant & identifAI partner together: Deepfake Detection for Expense Reports

The native integration of technologies that detect AI-generated or manipulated content strengthens controls on expense receipts and enables the analysis of out-of-policy behaviours. Furthermore, thanks to the integration with AI-Docs, SmartEX intelligently extracts data from documents, enhancing what was previously limited to OCR reading and simplifying the work of the administrative department throughout the entire expense report process.

As part of this evolution, SmartEX has been further enhanced by also integrating AI-Docs, the proprietary artificial intelligence platform that automates the extraction and structuring of data from receipts (till receipts, invoices, expense documents), significantly improving on what traditional OCR technology can deliver. The result is a simpler, faster, and more governable process for Finance and Administration: fewer manual entries, greater data accuracy, and more effective controls throughout the entire expense report cycle.

The falsification of expense receipts is a growing phenomenon: with digital and generative AI tools it is becoming increasingly easy to create or modify till receipts and invoices, while for the administration it is becoming ever more complex to verify their authenticity. This gives rise to risks of undue reimbursements, non-compliance with policies, and increased verification times.

The response: SmartEX evolves with AI verification of potential manipulations

To address this critical issue, Havant has entered into a partnership with identifAI, a platform specialising in the detection of digital content that has been generated, manipulated, or altered by artificial intelligence. The integration enables SmartEX to introduce an additional layer of control over receipts attached to expense reports, directly within the approval workflow.

This innovation is part of a broader evolution of the platform: SmartEX integrates AI not only to "read" documents, but also to qualify them and govern the entire process. On one hand, AI-Docs automatically extracts data from receipts and makes it available for pre-filling, controls, and accounting; on the other, identifAI strengthens the ability to detect manipulations and suspicious content, increasing the reliability and compliance of expense report management.

How the identifAI integration works and the main benefits for companies

Through a native integration, SmartEX enables advanced control of expense receipts: acquired documents (such as images of till receipts and invoices) can be analysed by identifAI's services for an automatic assessment of the content's origin.

When the analysis highlights indicators of generation or manipulation (for example, content potentially created or altered using AI tools), SmartEX classifies the expense as "suspicious" and activates a dedicated verification workflow, directing the review to authorised verifiers. In this way, the review activity becomes more targeted and effective, with a significant reduction in manual checks and overall validation times.

The benefits for companies translate into a greater ability to intercept altered documents even when they appear visually credible, a reduction in administrative rework, and a strengthening of compliance and traceability throughout the entire reimbursement process, with useful evidence to support audits. The integration with identifAI also complements the SmartEX features already available for process control, such as configurable rules and policy management, consistency checks (amounts, dates, and categories), and the identification of duplicates and anomalies, consolidating a more robust and proactive governance framework. In parallel, AI-Docs enhances the effectiveness of these checks by making data immediately available and comparable: the platform can thus apply controls and policies more quickly and consistently, reducing management times, exceptions, and requests for additional information from employees.

AI to recognise behaviours not aligned with company policies

Havant is also developing a further evolution within SmartEX, oriented not only towards the verification of individual receipts but also towards an "intelligent" reading of the process as a whole: the objective is to use AI to recognise anomalous behaviours and operational patterns that are inconsistent with company policies, supporting Finance and HR in the timely identification of deviations and fraud prevention.

The AI is trained to identify recurring patterns, atypical frequencies, and suspicious combinations that, taken individually, might appear legitimate, but become significant when observed over time or compared against internal rules. For example, the analysis can highlight the repetition of similar expenses within close time windows, the repeated use of categories with specific limits, the presence of "anomalous" sequences in the approval workflow, or the emergence of behaviours not aligned with the spending caps and travel rules applicable to a given role, location, or user profile.

This functionality builds upon SmartEX's existing configuration, which allows policies to be parameterised by user, creates alerts, and supports administrative controls. The development currently underway aims to make these controls more proactive: not just "static rules", but also a capacity to recognise weak signals and borderline situations, so as to direct reviews where they are truly needed and reduce the dispersal of time on low-value-added checks.

From an operational standpoint, AI can help prioritise reviews by suggesting a level of attention for cases and transactions that present higher risk indicators, making the work of administrative teams more efficient and improving the quality of oversight. In this way, SmartEX supports a more mature governance model: policies remain central, but are complemented by a system capable of tracking the evolution of behaviours and promptly intercepting deviations that may be critical relative to internal guidelines.

Looking ahead, this "behavioural" AI component integrates with the platform's other capabilities — approval workflows, controls, reports, and configurable rules — to build a more effective and measurable expense report process, in which companies can increase compliance without burdening the user experience or multiplying manual verification activities.
